Project Document Management System – Getting Started Guide
MPower365 PDMS is a Project Document Management System with two main modules: the Admin Webpart and the User Webpart. Admin users handle system-wide configurations and project creation, while regular users manage project-level documents, workflows, and transmittals. This guide helps new users understand how each module works.
1. Admin Webpart
The Admin Webpart is where all global setup and control functions of
PDMS are managed. It defines how projects behave and ensures consistency across
the system.
1.1 Application Configuration
Admin users configure project categories, document templates, workflow
templates, numbering patterns, notifications, and other application-level
settings. These settings act as the foundation for all future projects.
1.2 Project Creation
Admins can create new projects by selecting a predefined category,
entering project details, and assigning project administrators. Once submitted,
the system automatically initializes the project’s folder structure, workflows,
templates, and permissions based on the selected category.
1.3 Admin Dashboard
The Admin Dashboard provides quick visibility into the system. It shows
recently created projects, projects that are still being initialized, and
project counts grouped by category and status. This helps admins track project
activity at a glance.
1.4 Projects List
All projects in the system are displayed on the Projects page. Admins
can search, filter, and open any project to verify details or manage high-level
settings.
2. User Webpart
The User Webpart is the working area for project members. It provides
access to assigned projects and tools for managing documents and workflows.
2.1 Landing Page
When a user opens the User Webpart, they see all projects they have
permission to access. Selecting a project opens its workspace and user-specific
dashboard.
2.2 Project Dashboard
Inside a project, users see a dashboard tailored to their role. It may
show pending approvals, recent activity, and active workflows.
2.3 Project Settings
Project administrators can configure project-level settings such as
adding users to the project, assigning roles, defining workflow templates, and
setting numbering patterns. These settings apply only within the selected
project.
3. Document Management and Workflows
Documents are central to PDMS, and users can create, upload, or schedule
them for later upload.
3.1 Creating and Uploading Documents
Users can create documents using predefined templates, upload files
directly, or mark items to be uploaded later by themselves or an external user.
During creation, the user selects the appropriate document category and, if
available, chooses a workflow associated with that category.
3.2 Workflow Execution
After a document is created, its workflow can be adjusted by adding or
rearranging approvers. Approvers receive automatic notifications and can
review, approve, or reject with comments. Once all steps are completed, a new
revision of the document is published according to the project’s revision
rules.
4. Transmittals
Transmittals allow users to share documents securely with external
parties. A transmittal is created by selecting documents, choosing external
recipients, and adding notes. External users receive a secure link to access
the shared files through the PDMS portal, ensuring controlled and trackable
document sharing.
